Intention of meeting

What is the expected outcome? (decision we will make, things we need to clarify, any ambiguity need to share out,…). Tips: identify before and after meeting differences (lí do cần đến buổi meeting này là gì, sự thay đổi nào có thể xảy ra sau khi tham gia cuộc họp giữa mình và họ)
Who is the attendance, who is the stakeholders, what they care?
Xác định buổi meeting theo chiều hướng “mở hay đóng”, khúc nào cần open to discuss, khúc nào cần đóng vấn đề / đóng sự lựa chọn ( decision making )
Identify the context (why, when, where, who, which…), the key point, the alignment.

Mindset: we're here to discuss, empathize each other POV, and make alignment, not to defend, not to show up “that I know it all”

Meeting content

How should agenda look like?
How you will structure the narrative, cognitive load flow, information flow, storytelling?
Did you chunk it down? Be aware audience can remember all, especially long meeting.
If thing is complex, make sure you have example, visual, diagram, it helps.
Could follow this structure for each point: 1 main idea, 1 support idea, 1 example.

Progress of idea decision: Problem - Framing - Approach - Directions evaluation - Options evaluation - Preference & Trade off alignment - Decision log

Anticipate reaction
If need to make decision, so how we will make that decision?
Any back-up data point we should prepare? (data / user research / user testing…), if not what is the assumption, risk of that assumption?

Practice in every meeting

Clarify “why I did what I did” then talk about how I did, and keep align back to the what, the why.

Active Listening, repeat and repharse, clarify “subjective” into “objective” (tips: transform “what I like” to “what works”, transform “adj” to “noun/ verb”)
Keep in mind the purpose of the meeting — remove distractions and steer the discussion back to the main topic ( Facilitate skill ).

Let's them talk, and keep them discuss on the right direction

Did you take the note?
Do you wrap up all discussions? (who comment what, what we agree on, decision log, forward-looking: what should be on the next meeting session?…)

Again, please chunk it down, keep things simple, the longer meeting have the more chunking need
